Preface: This document is a guide on how to submit work order to the Support Operations Services Department.  Work orders need to be submitted for any physical plant (building, equipment, furniture, landscaping issue).  If it is an IT (Internet Technologies) request, please use their portal to submit a help ticket.

SOS Work Orders:  

When completing a New Work Order please keep in mind our maintenance tech needs all the information available so that they can assess the situation in a timely manner. Having all the information makes it easier for them to be prepared and have all the tools needed.

Request Information:

Location: The location should always be where the work order is taking place, or the destination of the item.

For example, if you have a desk at Lemen Head Start and it needs to go to Alyce Norman the Location will be Alyce Norman.

Building & Area: Very important so our team knows where to go at that location.

Request Description:

  • Please be as clear as possible and include all details available.
  • Also, when moving furniture, it is crucial to label items so it’s easier for our maintenance techs to locate what needs to be moved.
  • If there is a person who needs to be contacted when doing the work order, please include in the description name and phone number. (If different than the person submitting the work order)

For example, “Please move filling cabinet from right hand side of my desk facing the computer to the left-hand side of the filling cabinet behind me. I have labeled which filling cabinet needs to be move with a yellow sticky note and area where it should go with a red sticky note.”

NOTICE:
  • Please make sure all parties involved are notified, this way we don’t run into any objections once our maintenance techs are ready to perform the job. This involves timing as well, making sure we have the correct time frame the job can be performed.
  • Day-of work orders are not encouraged. We understand somethings do need immediate attention, but please plan accordingly when things are scheduled, such as meetings.
DISTRICT OR LEASED SITE WORK ORDERS: 

Pleases submit a work order for any of our classrooms that are located in other districts or on leased premise. This insures SOS has all the information needed to email the corresponding individual at each school district. Requester should be able to see actions taken and know the status of the work order through school dude.

Quick Steps| Maintenance Direct

 

  1.  Logon to myschoolbuilding.com/ enter e-mail as your login, put in your personal password /submit.
  2. Click on “Work Order Request tab”.
  3.  Complete all required areas þadding any other necessary information.
  4. All work orders will have a “new request” status until approved by Matt.
  5. Depending on site location, please list time “available for maintenance” (step #5).
  6. Enter password **(SOShelp) Click submit/view your request(s) on the “My Maintenance Request” page.
